SproutHelm helps home-care agencies add a website widget where families can browse caregiver profiles and start a conversation. This Privacy Policy explains how SproutHelm collects, uses, and protects information when agencies, caregivers, family members, and website visitors use SproutHelm websites, widgets, and related services.
1. Who this policy covers
This policy applies to SproutHelm websites, the SproutHelm demo, SproutHelm-powered widgets embedded on agency websites, and related communications with SproutHelm. When a home-care agency uses SproutHelm, that agency may also have its own privacy policy. You should review the agency’s policy for details about how the agency handles information it receives through SproutHelm.
2. Information we collect
Information agencies provide
- Business contact information such as name, role, email address, phone number, agency name, website, and billing or account details.
- Agency configuration information, including widget settings, branding preferences, service areas, and team settings.
- Caregiver profile information the agency chooses to publish or manage through SproutHelm, such as name, photo, experience, languages, specialties, availability notes, or biography text.
Information families or visitors provide
- Contact details submitted through a SproutHelm widget, such as name, email address, phone number, and message content.
- Conversation content, inquiry details, preferences, and other information entered into the widget or related forms.
Information collected automatically
- Device and usage data such as IP address, browser type, pages viewed, referring URLs, approximate location, timestamps, and interactions with the widget.
- Cookies, local storage, or similar technologies used for security, session management, analytics, and product functionality.
3. How we use information
- Provide, operate, secure, and improve SproutHelm websites, widgets, dashboards, and related services.
- Route family inquiries and conversations to the appropriate agency team.
- Support agency onboarding, customer support, troubleshooting, analytics, and product development.
- Communicate with agencies about demos, accounts, product updates, billing, security, and support.
- Detect, prevent, and investigate fraud, abuse, security incidents, or violations of our terms.
- Comply with applicable legal obligations and enforce agreements.
4. Health and sensitive information
SproutHelm is designed for lead capture and caregiver browsing, not for emergencies, medical advice, clinical decision-making, or urgent care coordination. Users should not submit highly sensitive medical information unless specifically requested by the agency and appropriate safeguards are in place. If you have an emergency or urgent care need, call emergency services or contact the agency directly through its published phone number.
5. How we share information
- With the agency you contact: inquiries, messages, and contact details submitted through a SproutHelm widget are shared with the agency operating that widget.
- With service providers: we may use vendors for hosting, analytics, communications, security, payment processing, and customer support.
- For legal and safety reasons: we may disclose information if required by law or if necessary to protect rights, safety, security, or the integrity of our services.
- Business transfers: information may be transferred as part of a merger, acquisition, financing, reorganization, or sale of assets.
We do not sell personal information in the ordinary sense of selling contact lists to data brokers.
6. Data retention
We retain information for as long as needed to provide SproutHelm, support agency accounts, comply with legal obligations, resolve disputes, maintain security, and enforce agreements. Agencies may control retention of certain inquiry, conversation, and caregiver profile information in their accounts.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet service can guarantee absolute security, so users should avoid submitting unnecessary sensitive information through public web forms or widgets.
8. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or restrict certain personal information. You can contact us at hello@sprouthelm.com. If your request relates to information submitted to a specific home-care agency, we may direct you to that agency or work with the agency to respond.
9. Children
SproutHelm is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child provided information to SproutHelm, contact us so we can take appropriate action.
10. International visitors
SproutHelm may process information in the United States, Canada, and other locations where we or our service providers operate. By using SproutHelm, you understand that information may be transferred to and processed in countries other than where you live.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date and may provide additional notice where appropriate.
